2. Information We Collect
To provide email tracking and analytics functionality, our system collects and stores specific information about users and recipients. This data is limited strictly to what is necessary for our Service's core purpose.
User (Sender) Information
When you authenticate or sign in to our Service, we store:
- Your Google Account Name (stored in
users.name). - Your Google Account Email Address (stored in
users.email). - Google Account information used for authentication (such as your profile picture URL).
Email Metadata and Content
When you draft and send a tracked email, the Chrome Extension collects the following from your compose window:
- Recipient email addresses (stored in
emails.to_recipients,cc_recipients,bcc_recipientsandemail_recipients.recipient_email). - Recipient names (stored in
email_recipients.recipient_name). - Email subject lines (stored in
emails.subject). - HTML email body content (stored in
emails.html_body). - Plain-text email body content (stored in
emails.text_body). - Original hyperlinks contained in the email body (stored in
click_tracking.original_urlandrecipient_click_tracking.original_url).
Recipient Interaction Data
When a recipient interacts with a tracked email, our server automatically logs:
- The recipient's IP Address (stored in
tracking_events.ip_addressandclick_events.ip_address). - The recipient's User-Agent / browser information (stored in
tracking_events.user_agentandclick_events.user_agent). - Email open timestamps.
- Link click timestamps.
Local Extension Storage
The Chrome extension stores authentication tokens locally on your browser (using chrome.storage.local) to keep you logged in and authorize communication with our backend API.
3. How We Use Information
We use the information we collect solely to provide, operate, maintain, and support the Service's core single purpose: "Track email opens and link clicks from Gmail and provide email engagement analytics."
Specifically, the collected data is used to:
- Associate tracked emails and interaction statistics with the correct sender account.
- Rewrite links and inject tracking elements when sending tracked messages.
- Render the historical list of sent tracked emails, recipients, and project tags.
- Generate and display reports, charts, and activity timelines inside your dashboard.
4. Email Tracking and Recipient Analytics
Our Service relies on standard web tracking technologies to identify engagement:
- Tracking Pixels: We inject a small, invisible 1x1 pixel image into the HTML body of tracked emails. When the recipient's email client loads this image, our server logs the open event along with the recipient's IP Address, User-Agent, and timestamp.
- Tracking Links: Hyperlinks in your emails are rewritten to redirect through our secure server. When a recipient clicks one of these links, our server logs the click event (IP Address, User-Agent, and timestamp) before forwarding the recipient to the original destination URL.
This tracking information is aggregated and displayed to you, the sender, in your secure Email Tracker dashboard.
5. Google Authentication
The Service utilizes Google OAuth to verify your identity and authenticate your account. The extension requests scopes necessary to retrieve your Google profile (name, email address, and profile picture).
The Service **does not** request or store passwords, nor does it request access to read, retrieve, or manage other untracked emails in your Gmail inbox.
6. Data Storage and Security
All tracking records, email details, and user profiles are stored in our secure database environment. Access tokens needed for authenticated operation are stored locally on your device within the extension's sandboxed storage.
We implement reasonable technical and organizational measures to safeguard the storage of this database information. However, please be aware that no transmission or storage method over the Internet is 100% secure.
7. Data Sharing
**We do not sell your personal data or your recipients' data to anyone.**
We do not share, rent, or distribute any collected information, except when required to do so by law or to comply with a valid legal process.
8. Data Retention
We retain your account details and email tracking records for as long as your account remains active or as needed to provide you with the tracking and analytical services.
9. User Rights and Data Deletion Requests
You have the right to access the data we store about you and request its deletion. If you wish to delete your account, remove specific tracked emails, or request the purging of your stored tracking metrics, please contact us.
10. Children's Privacy
Our Service is not intended for use by children under the age of 13. We do not knowingly collect personally identifiable information from children. If we discover that a child under 13 has provided us with personal information, we will delete it immediately.
11. Changes to This Privacy Policy
We may update our Privacy Policy from time to time. Any changes will be posted on this page, and the "Last Updated" date at the top of the policy will be updated accordingly. Changes are effective immediately upon being posted.
